FAX Mail
The
FAX
Mail Option lets a caller use the Voice Mail to send a
FAX
to a Subscriber, Guest, or
Message Center Mailbox. The Voice Mail stores the faxed document as if it were a message
—
hence the name
FAX
Message. The recipient who is ready to read the
FAX
simply sends it to a
FAX
Machine. What's nice about
FAX
Mail is that a
FAX
Message
—
unlike a regular faxed document
—
stays private until the recipient is ready to send it to a
FAX
machine. In addition, your company
does not need a separate
FAX
number. When callers reach the Voice Mail, they simply dial a few
codes in order to send a
FAX
.
About Sending a FAX to a Mailbox
To send a
FAX
to a mailbox, callers must call from a
FAX
telephone
—
a phone connected to
a
FAX
machine. When the Voice Mail Automated Attendant answers, the callers will hear
recorded instructions for sending a
FAX
to a someone’s mailbox. Once a caller selects the
mailbox to receive the
FAX
, the Voice Mail plays either of the following, depending on how it
has been programmed:

FAX
carrier tone
After they hear this tone, callers can press the
START
key on their
FAX
machines to start
sending the FAX.

This set of voice prompts: John Smith (or mailbox number) will receive this FAX Mes-
sage. If you wish, you can record a comment at the tone and press the pound key when
you are done. Otherwise, press only the pound key. When the caller presses the pound
key, the Voice Mail says: To send the document to be stored, press the
START
key on
your FAX machine when you hear the tone. Callers press the
START
key when they hear
the
FAX
carrier tone, and then they hang up.
About Checking and Printing FAX Messages
To check for
FAX
Messages, a mailbox users simply calls their mailboxes and presses
L
to lis-
ten. If there is a
FAX
Message,the Voice Mail plays the recorded comment (if there is one) and
then says This X-page FAX Message arrived on (date/time) from (caller's extension number,
if caller sent the FAX from an extension). The message has been saved. Then mailbox users
have the following options:

Leave it in their mailboxes until they are ready to send it to a
FAX
machine for a readout.

Erase it
Q
Use the
MF
(7 2) command to forward it to another mailbox (Subscriber, Guest, or Mes-
sage Center).

Send it to a
FAX
machine to get a readout. To do this, they use the
MF
command to for-
ward the
FAX
Message to a
FAX
Delivery Mailbox, which in turn sends the document to a
FAX
Machine. A
FAX
Delivery Mailbox can send the
FAX
to a pre-designated
FAX
Machine or to any
FAX
number that the mailbox user enters. For example, if mailbox
users are away on business and find a
FAX
Message in their mailboxes, they can have the
Voice Mail send the
FAX
Message to their hotel's
FAX
machine.

(6 2) command to make a call to the
FAX
sender

only if the
FAX
was sent
from an internal mailbox.

Use the RE (7 3) command to record a reply to the
FAX
sender
,
only if the
FAX
was sent
from an internal mailbox.
