Description
Using a System Administrator Mailbox, you can record the prompts for an Interactive Mailbox.
The prompts are usually questions or requests for information. You must record the prompts in the
order you wish them to play. The Voice Mail plays a beep after each one. The beep indicates that
the caller can record a response. After recording a response, a caller presses the pound key to get to
the next prompt.
For example: Suppose you are going to use the Interactive Mailbox to take orders. A sample list of
prompts may start with: Please record your name at the tone, then press the pound key. Please
record your address at the tone, then press the pound key. Please record your telephone number
at the tone, then press the pound key.
The Voice Mail can accommodate a total of 1600 interactive prompts for all Interactive Mailboxes
combined. The Voice Mail numbers the list of prompts for each Interactive Mailbox starting with
the number one. You can always add new prompts at the end of a list. In addition, you can insert
new prompts anywhere in an existing list, erase existing prompts, or re-record existing prompts.
To work with Interactive Prompts:

Call System Administrator Mailbox:
From any extension in the Voice Mail:
— Get intercom dial tone + Dial the Voice Mail master ext If requested, dial Sys
Admin Mailbox If requested, dial security code.
From outside, using the Voice Mail:
— Dial Auto Attendant Wait for gr Press # + Dial Sys Admin Mailbox
If requested, dial security code.

Notes:
• It is not absolutely necessary to record the information about pressing the pound
key because the Voice Mail plays the next prompt after a certain amount of time
anyway. This lets an Interactive Mailbox answer and handle a call from a Rotary
Dial caller (i.e., a caller who cannot use the pound key). To clarify use of the
pound key for callers, you may wish to record this type of information in the first
prompt only: To place your order, record your response to each question after
the tone, then press the pound key to move onto the next question. If you are
calling from a rotary dial phone, record your response after the tone, then
simply wait for the next question. Please start by recording your name.
• In the first prompt, you may wish to include information about dialing
0
if you
assigned a Next Call Routing Mailbox to the Interactive Mailbox.
