Managing the Address Book
TopAccess comes with an address book feature. You can:
Enter names and create groups for use with the Send to E-mail or
Send to iFax agents.
Set up the address book in advance or add recipients while you create
a recipient list for a Send to E-mail or Send to iFax transmission.
Build a recipient list that contains one or more contacts or groups.
As an administrator you are responsible for maintaining the address
book, which can be accessed by all users.
Adding or Editing a Contact

On the Administration tab, click the Address Book submenu.
The
Address Book Contacts List page opens.

Click
New
or check the box to select the contact to edit, and click
Edit
.
The
Contact Properties page opens. If you want to enter contacts from
an existing Directory Service using LDAP, click
Search
and skip to
Step 5.

Type in or edit the last and first names. Each may be no more than 32
characters.

Type in or edit the e-mail address, which is limited to 90 characters.

To add the contact to a group, click the group(s) in the group display.
If a group is not selected, the contact’s address appears in the
“Undefined” list of addresses. These are not assigned to any group.

Click
OK
to save the new or edited address.

If adding more than one contact, click
Reset
to clear all the field
entries so you can enter the contact information for the next contact.
Adding or Editing a Group

On the Administration tab, click the Address Book submenu. The
Address Book Contacts List page opens.

Click the
Groups
link. The Group Properties page opens.

If adding a new group, click
New
. If editing an existing group, check
the box next to the name of the group and click
Edit
.

Type in or edit the group name, which is limited to 20 characters.
