Registration Reference Manual
Quick Guide
Screen
Description
GC
The GP Capitation Enquiry (GC) screen displays patient totals, deprived area totals and
rural practice details for an individual GP or partnership. A pop-up box is available to
show capitation figures broken down by Q codes, for GPs who have fringe patients.
ID
The Identity Details (ID) screen is used to register a patient with an NHS GP or amend
details of patients already registered. A patient’s address may be matched and linked to
the Royal Mail Postcode Address File from the ID screen, providing SP Matching/Linking
parameters have been set to enable this.
Registration details recorded on this screen will be passed to FP4, Z68, FP99 and
CR283 applications when required.
Communication with the NHSCR database is maintained through the ID application.
The ID screen interacts with the PDS in order ascertain the NHS number of a patient
who is registering either without presenting an NHS number or with an old format NHS
number.
IQ
The IQ screen provides information about the number of patients registered with non-
dummy GPs who have either a temporary or old-format NHS number.
LL
The Letter Library (LL) screen is used to create standard covering letters that will be sent
out with Urgent Requests and FP22 notifications . The use of reserved words enables
you to automatically replace parts of the letter with personal patient details. This
application is also used by the Cervical Screening and Heart Screening systems.
ML
This screen is used to request a print of labels for boxes used for storing retained
medical records. It is also used to reprint labels display information on the contents of
MRE boxes that are known on the system.
MR
The MR Medical Record Selection screen allows you to specify criteria for finding patient
medical records and once found, to update the patient’s medical record status.
N0
The N0 screen allows a Health Authority to check with the Office for National Statistics
(ONS) that they have the correct old format NHS numbers for patients on the authority’s
live register.
N1
The N1 screen controls the upload of data from Unix. It is used to upload data which has
been received on tape from ONS and then downloaded onto Unix. Tapes from ONS
contain matched live NHS number pairs, and N1 uploads the data from Unix and creates
a cross-reference index.
NI
This screen displays live patients sequenced by NHS number. For each patient the NHS
number, name, registered GP and date of birth are displayed.
OC
The Organisation Communications (OC) screen enables the operating organisation to
specify what type of organisation it is. At present, this could be either a Primary Care
Trust (PCT) or a Health Authority (HA). This screen also allows the user to specify the
organisation name and address details which will be output on reports, letters,
statements, certificates and screens by the NHAIS system.
PE
The Prescription Exemption (PE) screen is used to: record Pre-payment, Maternity and
Chronic Sickness Exemption Certificate details for a specific patient; record statistical
data on the issue of certificates; record historical data on the issue of certificates; and
request print preparation for the latest certificate.
PN
The Patient Notes (PN) screen is used to enter free text notes about the patient. You
may also view NHSCR and HA/GP Links messages, which are currently displayed on the
patient’s Identity Details Screen, and delete these messages if they are obsolete.
QC
The Capitation Enquiry (QC) screen provides on-line access to GP and partnership
figures, for current and previous quarters. Information includes: patient totals, deprived
area totals, dispensing and rural practice details.
RA
The Audit (RA) screen provides a record of the last 20 transactions made on registration
applications, to a patient’s record. Auditing registration transactions should help to
combat the fraudulent issue of multiple FP4 Medical cards and Prescription Exemption
certificates. FP4 Medical cards are commonly used by patients as a formal means of
identification.
Details held for each change include: the date the transaction was made; the screen /
application used to make the change; the operator’s User ID; and a brief description of
the transaction.
