When the file is found, you can open it by double-clicking the link in this folder.
• You can also use this function from smart devices.
• Password-protected files are not supported. If images are included in the files, the images cannot
be sought.
• Up to 20 characters can be used for keywords.
• Up to 1000 links can be created in one folder. If the number of links exceeds 1000, more links
cannot be created, and a file named "!!Process aborted!! (too many links)" appears in the folder.
• While the machine searches for files, a file named "!!Processing!!" appears in the folder. The name
of the file changes to "!!Process completed!!" when the machine finishes the search.
Sorting Fax Documents
There are two preset folders in the "2.KeywordSearch" folder of the "AllUsers" folder;
"SpecialPurposeFaxReceived" and "SpecialPurposeFaxSent". The machine automatically searches for
received or sent fax documents in the "1.Files" folder of the "AllUsers" folder and creates links for the
documents in those preset folders. The machine sorts the links in the folders according to the year and
month they were sent or received.
In the "SpecialPurposeFaxReceived" folder, for example, the machine creates links for received fax
documents in the "FaxReceived" folder of the "1.Files" under "AllUsers". The machine creates a folder for
each year and month automatically and sorts links for the documents that are received each month. For
example, the links for fax documents received in October 20XX are created in the "20XX10" folder of
the "20XX" folder in the "SpecialPurposeFaxReceived" folder.
• You can disable this function under "System Settings". If you disable the function, those two preset
folders and subfolders are deleted.
