Hot folder
Introduction
A hot folder is a shared folder on PRISMAsync. PRISMAsync supports a maximum of 10 hot
folders. All users have access to the hot folder(s). Users can simply drag & drop PDF files into a
hot folder to print the files automatically.
When printing via hot folders is enabled, SMB printing is disabled, and vice versa.
When you enable printing via hot folders, you must select an Automated Workflow. The
Automated Workflow defines how each job must be printed. Optionally, you can create a JDF
ticket for each hot folder. The ticket can also define how each job must be printed.
NOTE
Print options can be defined in both the ticket and in the Automated Workflow. You must
prevent that the same print option is defined in both the ticket and the Automated Workflow.
Configure the hot folder
First, the system administrator must configure the hot folders. The system administrator must:
• Enable hot folder printing in the Settings Editor. SMB printing is automatically disabled. When
SMB printing is enabled, hot folder printing is automatically disabled.
• Define the username and password. The username and password combination is valid for all
hot folders.
Create a hot folder
When the hot folders are configured, the system administrator must create a hot folder in the
Settings Editor. Each hot folder requires an Automated Workflow. The default Automated
Workflow can be used, or a new Automated Workflow can be created.
In the Automated Workflow, you can define print options for the jobs.
The system administrator must define a name for the hot folder. The entire UNC path to the hot
folder is already available in the Settings Editor.
NOTE
The name of the hot folder is case-insensitive. The name of the Automated Workflow is case-
sensitive.
NOTE
When the Automated Workflow is fully configured, you do not need to create a ticket.
Create a ticket
The hot folders are configured. Automated Workflows are created for each hot folder.
Optionally, you can create a ticket for each hot folder. The ticket can also define how each job
must be printed.
Open the printer driver. Set the print options in a template. Right-click the template and select
"Save as ticket". The print options are saved into a ticket. The name of the ticket must be
"default_ticket.jdf". Save ticket "default_ticket.jdf" in the hot folder on the controller. The ticket is
never printed.
The ticket contains the defined print options except the MIME type (indicates the PDL type of the
job data).
