Changing the Parameters of the Fields in a Directory
You can change the following parameters of the fields in a directory:
•
Title , which is the name of the field
•
Format , which is the type of data that the field can contain. (The choices are any character,
alphanumeric, alpha, or numeric.)
•
Case , which is the presentation of alpha data in the field. (Alpha data can be displayed as upper and
lowercase, uppercase, or lowercase.)
•
Update , which specifies whether you want to change the data in the associated field for the records. If
you do not select the Allow Update option, you cannot change the data in the associated field for any of
the records.
•
Required , which specifies whether the associated field for the records must have data (that is, the field
cannot be blank). If you select the Required option, you cannot add or modify a record unless each
required field contains data. If you specify a field to be required, an asterisk (*) will appear after the
label for the associated field in the Add Entry dialog box, indicating that information is required for this
field.
These parameters are applied only when you add or modify entries in MasterDirectory. These parameters
are not applied when you import data into MasterDirectory. For example, if you set the format of the Phone
field to numeric and you try to add a new record that has alpha characters in the Phone field,
MasterDirectory rejects the operation. However, if you import data that has alpha characters in the Phone
field, the operation will be allowed, even though you specified that the field should have numeric
characters.
To change the field parameters:
1. Open the directory that contains the field(s) you want to change.
2. From the Settings menu, choose Directory Properties .
The Directory Properties dialog box appears, displaying the General tab.
