Océ VarioPrint 1105

As knowledge and information flow faster 
and faster due to Internet and broadband 
access and the need to have access to this 
information becomes more critical to 
business success, efficient electronic 
document archival and storage is becoming 
a major business issue for many companies, 
both large and small.  
 
Government data security acts and business 
accounting laws like Sarbanes Oxley are 
also having a major impact on those 
companies that have up until now resisted 
moving away from paper-based information.  
 
The last major factor in the move towards 
electronic document management is the 
pure amount of space that is now being 
taken up storing years and years-worth of 
paper documents. A company in the heart of 
a major city is typically spending large sums 
just to pay for the floor space to 
accommodate filing cabinets.  
 
Commercial print for pay businesses are 
already capitalizing on this trend by offering 
scanning bureau services, from the most 
basic archiving of legacy files to CD, through 
to data merging and intelligent storage within 
document management applications.  
 
The Océ VarioPrint 1105 is well 
equipped to assist both the print for pay 
business looking to capitalize on this trend 
and the in-house CRD operation.  
 
The large 100-sheet document feeder, which 
can scan at speeds up to 103 originals per 
minute, is well suited to handle this scanning 
workload.  
 
Within the scanning applications that come 
with the Océ VarioPrint 1105 
are scan to email, scan to SMB, scan to FTP 
and scan to HDD functions. Operators can 
choose to scan in resolutions between 
100dpi, 200dpi, 300dpi, 400dpi and 600dpi, 
sending the file in either a TIFF or a PDF 

format. The file can also be assigned a 
name, using the built in QWERTY keypad on 
the touch screen.  
 
The scan to email function, while valuable 
for the front office is less likely to find much 
use in the back office environment.  
 
The scan to SMB (for Windows network 
environments) and scan to FTP (which 
opens up scanning to a much wider range of 
networked environments) are more likely to 
be used in a back office setting.  
 
While the device itself does not offer any 
intelligent scanning via on the fly metadata 
or direct integration with middleware 
applications linked to document 
management applications, there are plenty 
of scanning and workflow applications that 
can be used.  
 
There are two main approaches. One 
method is based on software that supports 
hot folders and a series of workflow tasks 
assigned to them. The VarioPrint 1105 is 
simply set to scan files directly into the hot 
folder using either scan to SMB or FTP, 
leaving the software application to carry out 
the remainder of the workflow automatically.  
 
The alternative is to use a header sheet 
method of intelligent scan workflow 
application. In this instance, the operator, or 
the user, before they send the job down to 
CRD, would create a header sheet using a 
template application. This cover sheet 
usually contains a bar code, which holds the 
metadata relating to the specific scan job. 
The documents are then scanned again 
using the header sheet as the routing 
command. The job is scanned into a hot 
folder where an application interprets the bar 
code and carries out the instructions.
