6. Complete synchronization.
The main screen header shows the database icon with check mark, indicating: Synchronization
Complete.
The HFA3 has completed synchronization and is ready for final restart to complete the process to
screen for duplicate patient records.
Selecting OK initiates the process to screen for duplicate patient records. This step takes 5-10
minutes and the instrument is not available for use during this time.
Selecting Cancel keeps the process from starting. This message is repeated at next start up until
this step is completed by clicking OK.
7. Run duplicate check.
You receive the message: Synchronization Complete - Your HFA3s are now synchronized. Please
backup your database as soon as possible. HFA3 can now identify duplicate patients in your
database. Do you want to perform this check now? Click Yes to perform, or click No to perform the
check later. For more details see Duplicate Patients under
“Specific Settings,” on page 3-13
.
Select Yes to perform the check.
Once this screening is completed, all HFA3 instruments are now ready for use in full Data
Synchronization mode. All test data is synchronized and available to all instruments. When new
tests are run, they are automatically synchronized between HFA3 instruments. The duplicate record
screen is automatically performed. You do not need to initiate any action.
8. Verify completion.
You can verify the completion of the Data Synchronization go to Settings > System Information >
Database and view the Total Patient Records and Total Tests.
9. Check flagged duplicates.
Duplicate record indicator
After the Data Synchronization and Duplicate Patient check are complete, you may see
patient records identified as possible duplicates with the icon next to a patient name in the search
results list. This flag helps you in your data management because the patient records from all
instruments are now synchronized and the HFA3 has automatically detected possible duplicates.
This can occur when records were independently created on different instruments and may have
differences in the way the name, ID#, or Date of Birth were entered. The HFA3 identifies and flags
these records that are possible duplicates. When the operator sees a record that is flagged, they
should evaluate the possible duplicates and either merge records, or leave them as separate
records, as appropriate.
