9 Fax Recording
9.1 Introduction
One of the important functions of a Fax Server is to create a complete
archive of all faxes that are sent or received by your organisation. This would
work if the organisation would only use the Fax Server and no other
equipment to send and receive faxes. This however can not always be
maintained because a traditional fax machine is very convenient to send
paper documents such as a handwritten letters or forms that have been filled
in by hand.
The solution to include those fax transmissions in the fax archive is that the
Fax Server is recording them. The Fax Server Access System software for
MS Windows can convert these recordings back to the original document.
They are then included in the archive as if they were sent from the Fax
Server.
Incoming faxes can be recorded also, although this is less common because
most users prefer the Fax Server to receive faxes on.
Important:
The conversion of recorded faxes is an option to the Fax Server
Access system, so it may not be available on your system. Check with your
dealer for more information or pricing.
9.2 Configuration of fax recording
There are three modest requirements to get fax recording working:
•
The Fax Server must be configured in pass through mode (stand alone
mode Off).
•
The fax machine must be connected behind the Fax Server on the
extension of the PBX
•
The
external
number list must be filled in with the numbers of the
extensions that are used by your fax machines.
When the extension number of your fax machine is in the external number
list, all connections of the fax machine (incoming as well as outgoing) will be
recorded. External numbers can also be used. This would be in the rare
case that you would only want to record connections with some fax
machines.
The steps to follow to configure fax recording are:
