Answering System Operation: At The Base
About Your Answering System
Almost all the features of your Cordless Answering System 5600 can be operated from both the base and
the cordless handset. We suggest you initially set up your Answering System at the base.
Recording Your Outgoing Announcement
Before using your new cordless answering system, you should record an outgoing announcement. This is
what callers hear when the system answers a call. If you do not record an announcement, the system will
answer calls and use the computerized voice to say, “Please leave a message.”
After you become familiar with your answering system, you will be able to record the announcement from
your cordless handset. You might find you like the quality of the announcement recorded using the handset
better than that recorded using the base (see Answering System Operation: Away from the Base).
Before You Record
1.
Prepare your announcement.
Example:
“Hello. I can’t come to the phone right now. Please leave your name, telephone number,
and a message up to 4 minutes long after the tone. I will return your call as soon as I can. Thank you.”
2.
Set the ANNC ONLY switch to OFF.
Recording Your Announcement
1.
Press CHANGE, then ANNC.
2.
Speak toward the base in a normal tone of voice.
3.
When you have finished your announcement, press STOP.
NOTE: If you pause more than 4 seconds while recording, you will hear 5 quick beeps and the system
will stop recording. Wait for the tape to rewind, and record your announcement again.
Reviewing Your Announcement
1.
Set the volume control to the middle.
2.
Press ANNC.
Automatic Answering Operation
The system is ready to answer calls whenever the AUTO ANSWER indicator is lit. To turn AUTO
ANSWER on or off, press AUTO ANSWER. Set the ANNC ONLY switch to OFF.
When the system answers a call, the caller will hear the announcement you recorded, followed by a beep.
After the beep, the system begins recording your caller’s message; it stops recording when the caller hangs
up or when the caller is silent for more than 7 seconds. The system then records the day and time of the
call.
To conserve space on the tape, messages are limited to a maximum of 4 minutes. If the caller is still
speaking after 4 minutes, the system beeps once and hangs up.
Announce Only
You may set your system so that it plays your announcement, but does not record messages. This feature is
often used by businesses such as movie theaters and doctors’ offices.
1.
Open the cover and set the ANNC ONLY (Announce Only) switch to ON. When the ANNC ONLY
switch is ON, AO appears in the Message Window.
2.
Change your announcement if necessary.
Example:
“Hello. You’ve reached 5551234. We’re sorry we missed your call, but if you call on
Monday between 9 AM and 5 PM, someone will be glad to speak with you. Thank you.”
