Creating an Ad Hoc Topic
If you are not using an agenda, or if you have forgotten to add a voting topic to your agenda, you
can create a new topic at any time by pressing the
Ad Hoc Topic
button. You are prompted for the
topic text. Enter the voting topic text, and select
OK
. This new topic becomes the current voting
topic, and this topic is added to your agenda results. However, if you are using an agenda and you
create an Ad Hoc topic, the new topic is not added to your agenda and does not appear in the
Select
Topic
list.
Voting Topic Options
Each voting topic is voted on using the default voting rules for the voting body. You may override
these options using the
Topic Options
button. The new options you select for this voting topic
apply only to the current voting topic and are not saved as the defaults for the voting body.
Optionally, the i!-VotingManager can configure any or all voting options of a topic when the
agenda is created. As a topic is loaded from an agenda, any voting rules assigned to the topic adjust
the topic option and are reflected on this page.
A summary of the topic options is displayed below the topic on the main voting page. This allows
you to review the voting topic with a quick glance.

Administering the Vote
Once a voting topic has been selected, you may vote on this topic by selecting
Start Vote
. When
the vote is started, each members panel displays the voting topic and the available votes as
determined by the voting options. If the
Roll Call Before Each Vote
option has been selected,
members are prompted to mark themselves as
Present
before being presented with the voting topic
and available votes.
Each member is required to select a vote and select
Lock/Submit Vote
. Additionally, the vote
selection button can be held for one second to the lock the vote.
As each member votes, you will see the number of
Pending Votes
decrease. When all members
have voted, the
Pending Votes
box displays zero. When the
Results in Progress
option is selected,
the main voting page recalculates the voting tally and displays the results as each member casts
their vote.
If a vote is currently in progress, the
View Voter Status
screen allows you to see which members
have cast votes and the number of votes pending. If the
Display Vote Results in Progress
option is
selected, this page displays how each member voted. If this option is not selected, this page only
shows the members who locked their votes. If a vote is not in progress, the
View Voter Status
screen indicates which stations are enabled and disabled for voting.
If the
Voting Timer
is enabled, the timer counts down from its initial value to 0:00. You can add 30
seconds to the voting timer at any time by pressing the
Add 30
button next to the timer.
You can close the vote using the
End Vote
button. The vote may close automatically when all
members have voted or when the voting timer expires as determined by the
Voting Options
. When
a vote is closed, the vote is tallied and displayed in the
Vote Results
section near the bottom of the
main voting screen. This information is not displayed to the members or the public at this time.
