To retrieve System voicemail box messages remotely
•
Dial in on an Auto-attendant Line. (See page 76 for information on the Auto-attendant
feature). Alternatively dial in on any Line connected to a Voicemail Outgoing Message.
•
When you receive the greeting, dial 711, followed by Extension number 0, the System
voicemail box, Voicemail Password and #.
Auto-attendant
The Auto-attendant feature answers the call with a greeting and allows callers to ring directly
through to an extension provided they know the extension number of the person they wish to
contact. The announcement can invite the customer to dial a single digit dial through number
(see below), an extension number or an incoming group number. A Voice Module must be
installed for this feature to operate. The service is available on both Analogue and ISDN lines.
Calls to a line programmed for Auto-Attendant will be answered by the system within a
programmed time - one second by default.
When the system is in ‘Day Service’, the caller will hear the following pre-recorded greeting:
‘
Thank you for calling. If you know the extension number you wish to contact, please dial the number.
If you require assistance, please wait or dial 0.
’ When the system is in ‘Night Service’, the caller will
hear the following pre-recorded greeting: ‘
Thank you. There is no one available to handle your call
at the moment. If you wish to contact a particular extension, please dial the number.
’ You can
customise these greetings.
The caller then dials the single digit dial through (see below), the extension number or the group
number required. (The caller’s telephone must be in tone dialling mode).
The system will wait five seconds for the caller to dial the first digit, if a second digit is to be
dialled it must be dialled within 2 seconds (default for the AA Dial Timer) and a further four
seconds for the third digit. If digit 0 is dialled, or the digits are not received within that time, or an
incorrect extension number is dialled, the call is presented to the group or extension that is
programmed in the incoming ringing programming for the Line the call is received on ( The
default is that it rings group 1) five minutes after which time the call is released.
When the caller enters the extension number correctly, the extension will ring. When the call is
ringing at the required extension or group, the Courtesy Service greeting from the internal source
is played to the external caller until the call is answered. If it is not answered within thirty seconds,
the call will be presented as a normal incoming call for five minutes after which time the call is
released. If the extension is busy the call is camped on to the extension. If a Divert On Busy is
programmed it is activated. If a Divert On No Answer is programmed it is activated after the no
answer timer expires. If the extension becomes free before the no answer timer expires the call is
presented to the extension.
If a call is received on an Auto-attendant Line when the voicemail system is busy, the call will ring
as a normal call. If the voicemail system becomes free before the call is answered, the Auto-
attendant feature is activated and the call is automatically answered and the Auto-attendant
message is returned.
You may use this service to allow callers to
dial extensions directly, if you are not availing of the
ISDN MSN/DDI service.
