Elements of a Contact
Address Books
Use these address books to enter useful or frequently dialled phone numbers along with
names, addresses and e-mail/internet addresses. The entries in these address books appear
automatically in the contact lists of the connected system telephone.
If a phone number associated with a contact is transmitted during a call, the assigned name
will be displayed on the system telephone display (instead of the phone number).
The
User data > Address books
page is available to administrators and sub-administrators.
When the administrator or sub-administrator assigns contact group authorisations, they decide
whether these address books are made available to subscribers who are logged on as users.
Note:
If a large number of telephones are connected to the PBX, or large
volumes of contact details are to be uploaded, it may in certain cases take
several hours before the contact data is available to all the telephones after
the PBX has been commissioned.
Elements of a Contact
A contact must at least consist of a phone number and a corresponding entry in the entry fields
Surname
and
Company
. Additionally, you can add further phone numbers (up to 4), names,
e-mail and Internet addresses, postal addresses and a contact image. Furthermore, a contact
is assigned to one or more contact group(s).
For the displaying in the call data list and for various connected telephones the
display name
is used. If you have not entered anything in the entry field
display name
, the display name will
automatically be generated from the entries in the entry fields
First name
and
Surname
. If
there are no entries at all in the entry fields
First name
and
Surname
, the display name will
then be generated from the entry in the entry field
Company
.
Note the following differences when using the contact data in the connected telephones:
COMfortel 1400 IP, 2600 IP, 3200, 3500 und 3600 IP:
In the contact list of the telephone almost all contact data will be displayed except for display
name, department name and birthday. Exception: If no first name or surname was entered at
all for a contact, the display name will be displayed.
If there already is a contact entry with the same phone numbers in the local telephone book,
the contacts will be merged in the telephone. The local telephone book name entry is
preserved.
