Accounting Period
Purpose
To set up system-wide values based on your company’s fiscal year and accounting
practices.
MERLIN LEGEND Reporter uses the concept of accounting period to create “current”
and “archive” call record and database files automatically and to produce complete
period statistics on closing dates and times.
At the closing of an accounting period, the “current” file is moved to the “archive” file —
overwriting the old “archive” contents. Then the “current” file is emptied to make room
for new data.

Accounting Period. Monthly (default ), Bi-
monthly, Quarterly, User Specified (in which
case, you must set up the starting dates of each
period in the budget year via the Date button),
or Number of Days (3 to 365).
First Day of Accounting Period: month and day
(default = January 1st).
Time of day for closing Accounting Period. The
time in a 24-hour format (0:00 to 23:59 —
default = 0:00).

Date. The beginning date (in mm/dd/yy format) of a user-
specified period.
Dates must be in the future. Past dates are
automatically deleted. If the system runs out of
dates, a warning is sent to the Message Log.
Summary of Procedures (Accounting Period)
1.
Select Accounting Period from the Configuration menu.

Complete the dialog box.

If accounting period = “User specified,” select Date to identify each period’s dates.
a. To add a new entry, select Add; to change an entry, select it and use Edit or
Delete, as appropriate.
b. For additions or edits, enter the new date and select Apply (Reset cancels
changes).
c. You may work on another entry or use Close to return to the prior dialog box.

At the Accounting Period dialog box, select OK to accept changes and exit.
